Pre-Planning

  • Unlimited access via email and text for questions or concerns once booked

  • Three planning meetings

    • Initial discovery call (~30 minutes)

    • Broad planning meeting (~1 hour)

    • Final details meetings (~1 hour)

  • Venue Walk-through

  • Ceremony Rehearsal

  • Creation of day-of timeline

  • Vendor confirmations

General On-site Duties

  • On-site for up to 12 hours

  • Main point of contact for vendors and guest

  • Troubleshoot all day-of issues

  • Assist the couple with personal needs and concerns

  • Ensure the timeline is followed and make adjustments accordingly

  • Provide emergency kit for minor mishaps

Set-up & Tear-down

  • Manage vendor arrivals, departures, set-up & tear-down

  • Full set-up, tear-down, and pack up of all client-provided decor and prepare decor to load into vehicles (soft tear down during dance if possible)

  • Ensure all spaces are ready to go before guest arrival

  • Oversee that gifts are stored in secure location during reception and dance

  • Prepare gifts to be loaded in vehicles

  • Ensure all guests depart the venue on time

  • Assist in notifying guests of shuttle departures

  • Distribute final payments and gratuities to vendors on behalf of the couple

Ceremony, Cocktail Hour, Reception

  • Assist and prep officiant, readers, ushers, and wedding party for ceremony

  • Lead the processional and ensure the DJ is cued when needed

  • Key in photographer of special moments

  • Movement of any florals being repurposed

  • Oversee the transition between ceremony and reception, leading room flips with venue staff

  • Run and cue the reception timeline events (grand march, blessing, dinner, speeches, first dance etc.)
